Field Operations Assistant At Medical Teams International



ROLE objective:

The field operations assistant will support the daily execution of the activities of the health project in Bogotá under the supervision of the National Health Advisor and the Regional Manager of Central Zone Programs will help to carry out the activities of the project and will work both in the office and in the places of activities in the region.

Will provide and support procurement and purchasing processes as needed. In field activities, the role will have a strong emphasis on supporting the logistics of the program for the Health Points that will be developed in Bogotá.

Responsibilities include assisting in organizing transportation, setting up Health Points, cleaning, and quick shopping.

Administration processes:

  • Assist in the management of program records and files
  • Prepare bonus payments to Community Health Volunteers when required in the Bogotá office.
  • Collection and preparation of quotes and research of new suppliers of goods and services
  • Lifting and processing of orders, notes of goods received, and payment documents (to be ready for the payment stage), according to the FOM (field operations manual) and the Colombian Procurement SOPs
  • Ensure that records of distributions and activities at health points are accurately recorded on digital platforms and ensure that supporting documents are properly completed and finalized.
  • Prepare materials, permits and resources for future health points.
  • Give support to the Logistics Assistant of the regional Center (inventory, suppliers, acquisitions).
  • Petty cash management
  • Other tasks requested by managers.

Project Implementation Activities

  • Support the Coordination of the health program in the company of the Coordinator of Health Points of the regional Center in the planning, logistics and implementation of the Health Points.
  • Attend the health points and help in the preparation of the physical place, the distributions and the withdrawal of the same.
  • Support program logistics by purchasing program supplies
  • Carry out follow-up and post-distribution surveys with beneficiaries attended at health points
  • Support the Coordinator of the Health Program and the Coordinator of Health Points of the regional Center in the daily tasks for the implementation of the program, including planning activities and supporting communication with community health volunteers.
  • Help ensure that biosafety and protection protocols are complied with at Health Points.

Other responsibilities:

  • Ensure the safeguarding of program participants and employees by promoting an awareness-raising environment and upholding the provisions of the Medical Teams International Code of Conduct for protection against sexual exploitation and abuse, protection of children and vulnerable adults and harassment-free workplace policies.
  • Plan events for the program
  • Participate in committees as required
  • Represent Medical Teams International at meetings as required
  • Additional tasks as required
